Prepare the report cards
Recover last year's mock-ups 
Prerequisite You must be a user from the group Administration.
- Launch the command Imports/Exports > PRONOTE > Recover the data from a PRONOTE base.
- In the popup window, indicate the archive from last year (hosted mode) or the incoming year preparation file (non-hosted mode) (Recover data from another PRONOTE base).
- Tick the elements related to the report card in the recovery window and validate.
- Once the data recovered, think of quitting Exclusive usage mode.
Define the mock-ups 
- Go to the tab Report cards > Mock-ups >
Specification.
- You can:
- select an existing mock-up to modify it;
- create a new mock-up by using the line Create a template;
- duplicate an existing mock-up with a right-click and the Duplicate and customize the mock-up.
- In each tab (Header, Body, Footer and Class' report card), tick the elements that should appear on the report card. The preview
is updated as you go. You can come back to the mock-up several times; it is often while editing and printing you may see the need for modifications - but it is beforehand that the fields that the teachers must fill in should be defined.
- the number and type of appraisals, by eventually modifying the maximum number of characters (warning, it will modify all the mock-ups);
- the program elements, by eventually modifying the maximum number of elements per subject (caution, it will modify all the mock-ups).
Allocate the mock-ups to the classes 
Prerequisite You must be a user from the group Administration.
- Go to the tab Report cards > Mock-ups >
Allocation per period and per class.
- Select the class/period cells for which you want to allocate the same mock-up and click on the button
on the top right.
- In the popup window, select the mock-up in the drop-down menu and validate.
Determine the subjects to display on the report card 
- Go to the tab Resources > Classes >
Services per class.
- PRONOTE uses all the active services of the class on the report cards (Grading service):
- to remove a subject from the report cards, deactivate the corresponding service;
- to display a subject that does not appear on the report cards, activate the corresponding service; if it does not exist, create one;
- to display several appraisals and/or sub-averages for the same subject, the subject must have sub-services. If needed, create them (Grading sub-service).
- Its good to know that PRONOTE takes into account the printing options for the printed report cards and those published in the Webspaces. Meaning a service without grades and/or appraisals will not be visible if it has been specified in the tab

Customize the subject's display 
- Go to the tab Report cards > Mock-ups >
Customization of subjects per class.
- Click on the button
on the top right and in the popup window, specify the by default configuration for all the services.
Several options concern the display of the sub-services: the preview on the left is useful to understand what you are undertaking.
- You can then customize these parameters for specific subjects: select the class in the list on the left, then the subject, select Customized parameters in the panel on the right and tick the wanted options.
- By default, the subjects are arranged by alphabetical order. To modify this order, select a subject and use the arrow buttons on the top right of the list of subjects or click-drag the subject to wanted place. So not to have to repeat this operation
for every class, click on the button Select the class template and specify the class pour for which you have customized the order of the subjects.
- To group several subjects under the same designation, select them [Ctrl + click], click on the button Consolidate the selection and in the popup window, enter a name for this grouping. Tick
Display the groupings' average where appropriate.
- Inversely, if needed, click on the button Dissociate the selection.
Fill in the report cards
The averages are automatically calculated and the teachers complete the report card.

Verify if the appraisals have been entered 

- Go to the tab Report cards > Verification >
Verification of the report cards.
- Select the period, level, class and teacher to find all the missing appraisals:
the appraisal is not entered;
the appraisal is not planned in the mock-up of the report card;
the appraisal is entered, but their exists at least one other appraisal.

Print the report cards of a class 

- Go to the tab Report cards > Distribution

- Select a class in the list on the left and the period in the drop-down menu on the right: by default, PRONOTE prints all the services, if the student is graded or not. In the panel on the right, you can choose to only print all the services or only
the services corresponding to specific criteria. If the configuration is identical for all the classes, you can proceed in multi-selection.
- Click on the button Print the report cards.
- In the popup window, choose the report cards to be printed and eventually tick the other documents to be printed at the same time.
- Choose Printer as Type of output.
- Tick the wanted options:
- frame Choice of the recipients: by ticking Copy for the institution, you can print a copy of the report card for the previous institution of the students;
- frame Print for other periods: by default PRONOTE only prints the report cards for the current period; you can print others;
- frame Classes to take into account: allows you to choose the report cards to be printed for the students having changed class during the year.
- Go to the tabs to configure the page layout. To ensure that the report cards hold on a single page, tick Height adapted to the appraisals and program elements in the tab Presentation, adjust
the size of the font in the tab Font, and if needed the margins in the tab Page.
For a page layout that is easier to read, un-tick Print all the borders in
the tab Presentation: only horizontal borders will be retained.
- Verify the results with Preview then click on Print.
Send the report cards by e-mail 
Prerequisite The guardians must have agreed to receive e-mail (Contact preferences) and the counselors must be designated as recipients of e-mail (Internships > Counselors >
Form,
column R.Mail).
- Go to the tab Report cards > Distribution >

- Select a class in the list on the left. Do not select a student if you want to apply the same configuration for all.

By default, PRONOTE displays all the services on the report cards, if the student is graded or not. In the panel on the right, you can choose to only display the services and/or subs-services corresponding to specific criteria.
If the configuration is the same for all the classes, you can proceed in multi-selection.
- Click on the button
in the tool bar.
- In the popup window, select E-mail as Type of output.
- Tick the wanted options (see above) and use the tabs to configure the page layout.
- Click on Print/ Send. In the popup window, PRONOTE proposes to print a copy for the recipients that do not have an e-mail address.
Publish the report cards on the Webspaces 
- Go to the tab Report cards > Distribution >
Publication of the report cards.
- Tick the Webspaces in which you want to publish the report cards.
- By default, the report cards are published at the end of every period. The quickly modify the dates:
- if you have specified the dates for the periodic assessments, tick Synchronize the defined dates with those of the publication of the periodic assessment of the competencies to automatically recover the dates;
- if not, the fastest way is to operate is in multi-selection (with the key [ Ctrl] pressed on the keyboard) using the pencil button on the top right.

Print a report card for a student that has left the institution 

(Student departed from the institution)
Send the reports cards to previous institutions 
- Go to the tab Resources > Students >
Student's folder.
- If you want to send the report cards by e-mail, verify if you have entered the e-mail addresses of the concerned institutions: go to the tab Identity in the student's form, click on the button
in the rubric Studies and in the popup window, click on the button
next to the drop-down menu Previous institution.
In the popup window, enter the e-mail addresses of the institutions.
- Then go to the tab Report cards > Distribution >

- Proceed as you would for the parents: select a class in the list on the left and the period in the drop-down menu on the right, and then click on the button
in the
tool bar.
- In the popup window, frame Choice of the recipients, tick Copy for the institution and Sort by the previous institution (un-tick Guardians if you have already
sent them the report card).
- Choose the Type of output:
- if you tick E-mail: the report card of every student will be sent by e-mail to the previous institution;
- if you tick PDF (to send all the related report cards in a single e-mail sent to the previous institution), and then tick A document *.pdf per resource. Then click on the button
and in the popup window, tick The previous institution: you can see what PDF must be sent to which institution by looking at the names of the files.
- Click on Generate or E-mail.
Archive the report cards
Consult or modify the report cards from previous years (Non-hosted mode) 
You must open the concerned base (Previous year).
Consult or modify the report cards from previous years (Hosted mode) 
A dedicated display allows you to consult the report cards from previous years from your actual base base.
Prerequisite You must be a user from the group Administration.
- Go to the tab Report cards > Archives >
Report cards from previous years.
- Select a student.
- Double-click on the report card: it is displayed in a PDF format.
Note: from the Parents Webspace, the parents can also download the report cards from previous years. for this, verify in Communication > PRONOTE.net that the rubric Old report cards is ticked
in the tree structure of the Parents Webspace.
Create an archive with all the year's report cards in a PDF format 
At the end of the year, generate all the report cards in a PDF format: it is an easy way to consult them later.
- Go to the tab Report cards > Distribution

- Select all the classes on the left.
- Click on the button
in the tool bar.
- In the print window, tick Student report card and Copy for the institution.
- Choose PDF as Type of output.
- Tick Print for other periods, click on the button
and tick all the periods of the year in the popup window.
- Click on Generate.
