Variable (standard letter or SMS)

A variable is a tag that is replaced by the correct information during printing or sending of mail/SMS. For example, the variable <NameStud> is replaced by «Smith» or «Jones» according to the concerned student.

Insert a variable in a standard letter/SMS

  1. Go to the wanted tab:
  2. Select a standard letter/SMS.
  3. Position the cursor where you want to insert a variable, right-click (or click on the button Insert) and select the wanted variable. The available variables depend on the category of the standard letter/SMS (Category of a standard letter/SMS).
  4. The variable is displayed between chevrons in the standard letter. During the sending, it will be replace by the appropriate data.

Customize a list of variables in a standard letter/SMS

For some categories (Absences, Replacement requests, Replacement, Committees, Meetings), you can insert a list as a variable (of absences, replacement requests, etc.): either a predefined list (with the selected default elements), or a customized list (where you define the elements and their presentation).

  1. Go to the tab Communication > Mail >  Editing standard letters.
  2. Select a standard letter.
  3. In the letter, position the cursor where you want to insert a series of variables, right-click and select List > Customized.
  4. In the edition window, insert the variables in an arrangement of your choice and validate.
  5. The variables are replaced by the adapted information during the sending of the letter.
