Time grid
The time grid is a grid where the courses are positioned; it must cover all the time slots where activities might be scheduled. Every user can mask the time slots that do not interest them.
Administrator Configuration
Configure the time grid during the creation of the base
When you create a new base, you are asked to configure the time grid.
- A HYPERPLANNING base covers between 1 and 62 weeks (either the beginning of August thru October of the following year, after summer school). Indicate the first Monday and the last Sunday of the wanted period.
- With a click, turn off the days when no activity will be scheduled.
- Indicate the number of sequences per day, without forgetting to include the mid-day break and eventually thinking of end of day meetings: 10 sequence for a day from 8:00 am to 6:00 pm.
- The duration of a sequence is used in the calculation of the services: if a course lasts 55 minutes with an inter-class break of 5 minutes, leave the length of the sequence at 60 minutes.
- Split the sequences into 2 (30 min. time steps) if your courses are 1 hr. and 30 Min., into 4 (15 min. time steps), etc. You can divide the sequence by 12 creating 5 min. time steps thus allowing you to create 55 minute courses.
Modify the time grid once the base is created
Prerequisite You must login in as an administrator.
- Go to the menu File > Utilities > Convert the base.
- The conversion of the base transfers you to Exclusive Usage mode (all the users will be transferred to Consultation mode). In the popup window, you can modify the working days, the number of hours per day as well as the
time steps.
- The hours are added or removed at the end of the day.
- If the courses are placed on days that you are rendering non-working or in a time slot that you are eliminating, they are not deleted, but they will lose their place: you will find them in failure
, indicated in red in the list of the courses.
- If you specify a longer time step, the courses using a smaller step will be converted. For example, a course of 1hour 30 min. created with a time step of 30 minutes: if you specify a new time step of 1 hour, this 1hour 30 min. course will automatically
become a 1 hour course.
Specify the times that are displayed throughout the grid
Prerequisite You must login as an administrator.
- Go to the menu Parameters > general parameters > Times and sequences.
- Click on a designation to modify it, enter the new time using the form HH:MM (ex. 08:15) and validate using the key [Enter]. By default the modification is transmitted in the following times
(9:15, 10:15, 11:15, etc.); if this is not what you want, un-tick the option Impact the entry to the successive times.
- If the time of the end of a course does not correspond to the beginning of the following course, enter the times for the end of the course. It will be displayed in some interfaces and in particular in the course form.
- In the tabs In the display and Printed times, only tick the times that you want visible throughout the timetable grids and schedules, on the screen and in the printouts (these configurations
can be modified in the tab Presentation in the print window).
Directly modify the times throughout the grid
Prerequisite You must login as an administrator.
In a timetable or schedule grid, double-click on the time and enter the suitable time.
New Display the times on the course block on the Webspaces
An option configurable from the Client allows the display of times in the course blocks on the Spaces for better readability (for example when you have long courses).
Prerequisite You must login in as an administrator.
- Go to the menu Internet > Publication of the Webspaces.
- In the tree structure, click on Schedule configuration.
- In the frame Displayed times, tick Display times in the courses (all times are taken into account).
- In the Webspaces, the times are visible in the course blocks.
User preferences
Every user can mask days or morning/afternoon time slots. He/She will find their setting at every new connection.
Mask a day of the week
- Go to the menu My preferences > schedules > Layout or click on the button
on the top
right of the grid.
- Un-tick the days that you do not want displayed in the timetable grids and schedules.
Reduce the time range displayed on the screen
- Go to the menu My preferences > schedules > Layout or click on the button
on the top
right of the grid.
- Select via the drop-down menus, the beginning and ending time to be displayed. The proposed times correspond to those of the time grid as it has been defined. To display and organize the events in an ulterior time range, an administrator must convert
the time grid (see above).
Choose the times to be displayed throughout the grid
- Go to the menu My preferences > schedules > Times or click on the button
on the top
right of the grid.
- Among the times specified by the administrator, tick those that you want displayed throughout the time grid.
