Maileva

The paperless mailing service allows authorized users to send mail in two clicks. The mail is sent to the French post office "La Poste", which takes care of the printing, enveloping, stamping and delivery of the mail. The tracking of mail is conducted from the software.

Configuration

Sign up for the Maileva mailing service

 New  Registration is done directly through Index Education.

  1. Go to the menu File > Access the registration form for sending via Maileva or go to the page https://www.index-education.com/fr/inscription-maileva.php on the Index Education Website.
  2. Click on the button Subscribe to the service.
  3. Fill-in the registration form, then click on the button Send.
  4. Once your request has been taken into account, an e-mail MAILEVA module registration is sent to the address you have indicated. For your registration to be definitively validated, print the form (in HTML or PDF format) via the link present in the e-mail and return it dated, signed and with the stamp of the institution to Index Education by postal mail.
  5. Once membership is confirmed, update your software license via the menu File > Utilities > Automatically register your license (License).

Authorize the administrative users or staff to mass mail via Maileva

 Prerequisite  You must login as the SPR.

  1. Go to the menu File > User administration.
  2. In the popup window, click on .
  3. Select the concerned group in the list on the left.
  4. In the rubric Communication, tick Use the Maileva mail service.

Authorize the teachers to mass mail via Maileva

 Prerequisite  You must login as the SPR.

  1. Go to the tab Timetable > Teachers >  Authorization profiles.
  2. Select the profile in the list on the left.
  3. In the category Communication, tick Use the Maileva mail service.

Sending and tracking

Sending mail with Maileva

  1. In the mail dispatch window, select Maileva as Type of output for outsourced enveloping.
  2. In the drop-down menu, select the type of postage. The default postage selected can be specified in the Parameters > communication > Mail/SMS/Messaging service.
  3. Indicate if you opt for black and white and/or duplex printing.
  4. Select the standard letter to be sent, and then click on the button Preview before sending.
  5. Verify the results. Only mail with the address in envelope format can be sent with Maileva.
  6. Click on the button Send.

View the mail transmitted to Maileva

  1. Go to the tab Communication > Mail >  Historical record of dispatches.
  2. Select the concerned recipients and category.
  3. Specify the period during which the mail was sent.
  4. All the mail is displayed. You can easily visualize the follow-up of your mailings managed by Maileva. Messages show you the status of the delivery:
    • Waiting to be sent,
    • Not sent,
    • Sent to Maileva on [date],
    • Posted the [date],
    • Unknown letter,
    • Letter error,
    • Refused.
  5. When you select a mail from the list, you have the option to:
    • to view the mail in the right panel;
    • to reprint the mail;
    • to delete the mail.
  6. To view the invoices, click on the button Access to invoices.
